Kadlec has an exciting opportunity for an Administrative Assistant KMA (1.0FTE, Day) to join our growing KMA Administration team located in Richland, Washington!

Minimum Requirements:

  • H.S. Diploma or GED or equivalent educ/experience.

  • Minimum of one-year college-level course work in business or related field or a combination of education and experience may be used to determine the qualifications for the essential job functions of the position.

  • Ongoing training, enhancement of knowledge, skills and abilities for current or future responsibilities as identified in professional goals.

  • Five (5) years executive secretarial/administrative support experience.

Preferred Qualifications:

  • Experience in a medical office/hospital setting and/or legal office/law firm and medical terminology/and/or legal terminology.

Duties include, but are not limited to, the following:

As an Administrative Assistant you will perform highly responsible and complex administrative assistance and coordinates daily operations of KMA Administrative Office ensuring an efficient office operation. Exercises independent judgment and observes confidentiality when completing assigned tasks.

  • Provide complex administrative assistance to the Kadlec Medical Associates leadership and physicians. Exercises independent judgment and confidentiality in assisting with administrative details.

  • Calendar Management of KMA Director and Medical Directors.

  • Meeting support of KMA Director and Medical Directors. Included in this is: Agenda creation, meeting packet, run meeting logistics, record minutes and send for approval, and send out approved minutes to meeting participants.

  • Document Preparation. Create documents in Word, Excel, PP and Visio

  • Create dashboards and track data for Hospital Based Provider practices. Responsible for finding, running, requesting reports for agreed upon metrics. Responsible for the monthly entering of data onto the dashboards. Responsible for sending out a copy of the monthly dashboard to the KMA Director, Practice Manager, and appropriate medical directors.

  • Schedule meetings, dinners, and special events. Creates agendas, meeting packets, and prepares presentations. Attends meetings and documents minutes ensuring that accurate and sufficient documentation exists to meet legal requirements. Maintain record of attendance at meetings.

  • Compose, edit and type correspondence and reports, including information regarding highly confidential matters.

  • Create and maintain reports, as requested (rosters, statistics, tracking and trending reports) Maintain participation lists (PAR) for Hospital Based Provider groups and distributes as needed.

  • Maintain appointment calendars for Kadlec leadership. Reviews calendars regularly and prepares for upcoming meetings/appointments and addresses any meeting/appointment conflicts.

  • Greet visitors, answers phones, responds to questions, comments or concerns, and directs visitors appropriately.

  • Process KMA provider payroll. Properly tracks and accounts for extra shifts worked, PTO, cross training, and CME.

  • Track and process travel and expense reimbursement documentation for KMA staff.

  • Open, sort and distribute incoming mail.

  • Maintain a filing system for KMA documentation.

  • Assist management in planning and Implementing new or revised office methods and procedures, accurately maintains office records, manuals, and documents,

  • Remain current on issues, situations, and conditions of special interest to KMA leadership including new policies and procedures.

  • Assist in the selection and training of administrative personnel.

  • Exemplify outstanding customer service.

  • Provide coverage for the Hospitalist Coordinator during their absences.
