Kadlec Regional Medical Center has an exciting opportunity for a Office Assistant to join our growing Education team located in Richland, Washington!

Shift Details: Full time, 1.0 FTE. Day Shift.


Minimum Requirements:

  • 1 year office support experience, including experience with a variety of software applications which includes Microsoft Office

Preferred Qualifications:

  • 1 year medical, educational setting, and/or customer service experience

  • Bi-lingual or multi-lingual skills

Duties include, but are not limited to, the following:

As an Office Assistant who will perform a variety of administrative and clerical functions associated with the operation of the Department and performs related duties as assigned.

  • Demonstrate and sustains compliance with the Kadlec Caregiver Standards of Excellence and Code of Conduct

  • Perform a variety of office administrative functions including answering the telephone, sorting and distributing incoming mail, greeting visitors and employees, providing information and assistance to callers and visitors and responding to questions

  • Schedule patient appointments (as applicable)

  • Handle meeting requests; takes information for meetings (date, room, set-up type, equipment needed, catering, and assures appropriate resource arrangements are completed)

  • Proactively audits meeting requests for the upcoming week; assures all resources and arrangements are complete and have been communicated

  • Handle incoming calls, takes referrals, messages and refers calls to appropriate personnel

  • Register internal and external class participants in a variety of course (Education Office Assistant)

  • Perform clerical functions related to class enrollment and creates and maintains participant rosters (Education Office Assistant)

  • Update and maintains training center website and e-learning system (Education Office Assistant)

  • Assist in maintaining and tracking computers and classroom equipment (Education Office Assistant)

  • Order, stock, and track office supplies and other department specific materials

  • Produce correspondence, reports, department statistics, handbooks, presentations, minutes and memoranda, including materials of a confidential nature, concerning routine matters independently or from oral or written instructions

  • Remain responsible for daily billing reconciliation (as applicable) ensuring accuracy and completeness

  • Make arrangements to receive appropriate information from referring doctors' offices and/or hospitals on new patients and sets up new files (as applicable)

  • Arrange for insurance clearances (as applicable and necessary)

  • Produce variety of correspondence to referring doctors, i.e. admit, progress and discharge letters (as applicable)

  • Order office materials

  • Assemble New Patient packets (as applicable)

  • Coordinate with other departments as needed

  • Serve as a receiving point for results of all labs, diagnostic test results, and dictations; and files in patient chart (as needed); Faxes as needed

  • Operate other office equipment and machines such as requested and trained

  • Maintain department’s records and files according to established procedures

  • Receive and distributes interdepartmental mail

  • Participate in unit and house-wide quality improvement activities in order to improve patient care and comply with regulatory groups such as Leapfrog and Core Measures (as applicable)

  • Participatesin various committees and councils as appropriate

  • Assist the department staff with special projects as assigned; coordinates communications with other departments and agencies as appropriate

  • Adhere to standard policies as outlined in department related to infection control, fire and safety, hazardous chemicals, personnel policies and departmental procedures

  • Perform other duties as assigned
