Kadlec has an exciting opportunity for a Office Assistant to join our growing Education team located in Richland, Washington!
Shift Details: 1.0 FTE, Full Time, Day Shift.
H.S. Diploma or GED from an accredited educational institution
1 year office support experience, including experience with a variety of software applications which includes Microsoft Office
1 year medical, educational setting, and/or customer service experience
Bi-lingual or multi-lingual skills
Duties include, but are not limited to, the following:
As an Office Assistant who will perform a variety of administrative and clerical functions associated with the operation of the Department and performs related duties as assigned.
Demonstrates and sustains compliance with the Kadlec Caregiver Standards of Excellence and Code of Conduct.
Performs a variety of office administrative functions including answering the telephone, sorting and distributing incoming mail, greeting visitors and employees, providing information and assistance to callers and visitors and responding to questions.
Schedules patient appointments (as applicable).
Handles meeting requests; takes information for meetings (date, room, set-up type, equipment needed, catering, and assures appropriate resource arrangements are completed).
Proactively audits meeting requests for the upcoming week; assures all resources and arrangements are complete and have been communicated.
Handles incoming calls, takes referrals, messages and refers calls to appropriate personnel.
Registers internal and external class participants in a variety of course (Education Office Assistant).
Performs clerical functions related to class enrollment and creates and maintains participant rosters (Education Office Assistant).
Updates and maintains training center website and e-learning system (Education Office Assistant).
Assists in maintaining and tracking computers and classroom equipment (Education Office Assistant).
Orders, stocks, and tracks office supplies and other department specific materials.
Produces correspondence, reports, department statistics, handbooks, presentations, minutes and memoranda, including materials of a confidential nature, concerning routine matters independently or from oral or written instructions.
Remains responsible for daily billing reconciliation (as applicable) ensuring accuracy and completeness.
Makes arrangements to receive appropriate information from referring doctors' offices and/or hospitals on new patients and sets up new files (as applicable).
Arranges for insurance clearances (as applicable and necessary).
Produces variety of correspondence to referring doctors, i.e. admit, progress and discharge letters (as applicable).
Orders office materials.
Assembles New Patient packets (as applicable).
Coordinates with other departments as needed.
